Privacy notice

Air Con Installers (acinstallers.uk) is a directory of air conditioning installers. Homeowners use it to compare companies and send one enquiry. Installers use it to be listed and, once we’ve checked them, to receive those enquiries. This notice says what we do with personal information. It isn’t a substitute for legal advice.
Enquiries from homeowners
When you send an enquiry we store it and email you a confirmation. We also email our team a short summary: the town, the first part of your postcode, the type of property, the rooms and your timescale. That summary does not include your name, phone, email, full postcode or message.
If you send the enquiry from a company’s page, we offer it to that company first. If they can’t help, or if you send it from anywhere else on the site, we offer it to other checked installers who cover your area. Each offer lasts 24 hours. If an installer declines or doesn’t reply in time, we may offer the job to another checked installer instead. No more than three installers can accept one enquiry.
We don’t sell your details.
How installers see your details
The email an installer receives is that same short summary. Your name, phone, email, full postcode and message stay on our site. An installer only sees them after they sign in and accept the enquiry. We never send those details by email. If the first installers can’t take the job, the summary may go to further checked installers. Your contact details are only shown to installers who accept, and no more than three can accept.
When an installer accepts, we email you their company name, their phone number if we have one, and a link to their profile, so you know who to expect. Installers agree to use your details only to contact you about that job, and not to sell or share them or add you to a marketing list.
What we store from an enquiry
Your name, email, phone and postcode; the property type, rooms and timescale if you give them; your message; any note you add about photos (we don’t take photo files); which company page, town or county you sent it from; when you agreed we could pass the enquiry on; and which installers we offered it to, including whether they accepted, declined or let it expire, and any reason they gave for declining.
How long we keep enquiry details
We remove your name, email, phone, full postcode, message and photo note after 90 days, or sooner if you ask. We keep a record of the job — the town, the first part of the postcode, the property type, the rooms and timescale, and which installers we offered it to — so we can see how the site is used.
If an installer had already accepted, we email them and ask them to delete their copy, unless they still need it to finish work you asked them to do. Once an installer has your details, their own privacy notice covers what they do with them.
Checked installers
We only pass enquiries to installers we have checked. That means we have looked them up on public records, including Companies House (or confirmed who they are if they aren’t a limited company) and an F-Gas register, and the company has confirmed to us that it holds public liability insurance. Checked is not a guarantee of their work.
Directory listings
A company page can show the trading name, legal name, description, phone, email, website, where the company is based, Companies House number, the towns they cover, services, brands and accreditations. That information comes from the company or from public sources, including the company’s website, Companies House and F-Gas registers. A published listing is public. If your company is listed and something is wrong, or you want the listing removed, email us.
Installer accounts
Checked installers sign in with a one-time link we email to the address on their listing. A link sent with an enquiry lasts 24 hours, the same as the offer. A link they request themselves lasts 30 minutes. We store a scrambled copy of the link, not the link itself, and it stops working once it’s used. Signing in sets a cookie that keeps them signed in for 30 days.
Before they see an enquiry they agree to the installer terms and confirm they hold insurance. We store the time they did that. Each offer email includes a link to stop receiving enquiries. The listing stays on the site. They can also ask us to stop by email.
Listing requests
If you ask to be listed, we email ourselves the details you send: company and contact names, email, phone, website, where you’re based, Companies House and F-Gas numbers if you give them, your description, the towns, services, brands and accreditations you select, your confirmation that you hold insurance, and any note. We use that to decide whether to add a listing and to reply to you. We don’t add it to the homeowner enquiry list, and we don’t pass it to other installers. A listing is only published after we confirm. If we publish it, the listing itself is public, as described above.
Featured place requests
If you ask about a featured place on a town page, we email ourselves the company name, your name, email, phone, the town and anything you add in the note. We use that to reply with the price and, if you go ahead, to set the place up. Sending the form doesn’t reserve the place. We don’t add it to the homeowner enquiry list, and we don’t pass it to other installers.
Cookies
You don’t need an account to browse the site or send an enquiry. We don’t use advertising cookies. When you first visit, we ask whether we may use analytics cookies. Until you choose, those cookies stay off.
If you allow analytics, we load Google Analytics so we can see which pages are used. That can set cookies such as _ga. If you reject it, we don’t load analytics and we don’t set those cookies. Either way we store your choice in a cookie called aci_consent for six months, so we don’t ask on every page. You can change it from Cookie settings in the footer. Rejecting analytics deletes analytics cookies already on this browser.
We also use one cookie to keep an installer signed in, for 30 days, and a separate cookie to keep our own team signed in to the admin area, for 7 days. Both exist only so those signed-in pages work, and they don’t depend on the analytics choice.
Who else handles the information
We share an enquiry with checked installers in the way described above. To run the site we use Vercel to host it, Supabase to store the database, and Resend to send email. They process information for us so the site and the emails work, and they may do that outside the UK, under a contract with us. If you allow analytics cookies, Google also receives page-view information through Google Analytics and may process it outside the UK.
Listing and featured-place requests go to our email inbox. We keep them while we need them to reply and, if a listing or a featured place goes ahead, for as long as that is in place.
Your rights
You can ask what we hold about you, ask us to correct it, or ask us to delete it. You can also object to how we use it. Email info@acinstallers.uk. If you’re unhappy with how we handle your information, you can complain to the Information Commissioner’s Office at ico.org.uk.
